Library Field Descriptions
This page lists what each of the fields in the library database are used for.
This information can be very helpful if you are searching the database for a
specific type of piece.
pieceID
format: number (####) or number (####.#), leading zeros not used
A unique identifier for each entry in the database. Each entry has a single
PDF file associated with it. This field is used internally by the database.
Once a number is assigned to an entry, that number never changes.
Each piece has an entry with a major number: e.g., 1 or 314
The major number entry (####) for a piece will have the main collection of parts:
- e.g., 46 - Thunderer, The
If there are additional parts that were published separately such as
Conductor, F French Horn Parts, C Piccolo Parts, Parts people have written, or Contributed Parts,
these will be added as "Add-On Entries" (####.#):
- e.g., 46.1 - Thunderer, The - Conductor
Note: If a physical sheet of music has more than 1 piece of music on it, each
piece of must will have its own unique major number. If this occurs, a unique
major number is assigned for each piece, and a note is put in the notes field stating that there are multiple pieces on
the sheet. For example, for a sheet with three pieces on it each piece would be assigned a number:
- 314 - Jesus, Lover of My Soul
- 316 - Safe Within My Vail
- 317 - Watchman, Tell Us of the Night
isViewableOnWebsite
format: YES/NO
If the piece is viewable on the website. Pieces are relased in batches of 10 or so at a time.

isReadyForWebsite
format: YES/NO
If the piece is a candidate for release to the website.
Note: Even if a piece is ready for release, it may not be released yet - see isViewableOnWebsite field.
Only used by the BandMusicPDF.org librarians.
title
format: text
The title of the piece.
If the title is very long, it may be entered here in a shortened form.
If the title begins with "the" or "an" this is put at the end
(i.e., "The Booster" becomes "Booster, The".)

filenameForWebsite
format: filename (no spaces, ends in ".pdf")
The filename of the PDF file containing the sheet music. Each piece in the
library has exactly one PDF file associated with it.
collectionName
format: text
Name of the collection the piece is part of (if applicable).
If a this piece came from a specific collection, the name of the collection.
If the piece is not part of a specific collection, this field is left blank.
Current collections are:
- "VaclavKlimek"
- "DanaMBailey"
- "ChesterNettrower"
- "Cooley-Selland"
- "Ed Ballenger"
titleUnedited
format: text
The unedited title of the piece.
Title without the "The" or "A" being moved to the end.

composer
format: text
Name of the composer, if known.
The composer name is listed in the format: LastName, FirstName
arranger
format: text
Name of the arranger, if there is one.
The arranger name is listed in the format: LastName, FirstName
year
format: yyyy
The year that the piece was published. If this is not known, this field is left blank.
publisher
format: text
Name of the publisher, if known.
copyrightStatus
format: text
The current copyright status of the piece.
Only pieces that have entered the public domain in the USA are posted to the website.
Note: All pieces posted to the website will generally have "public domain,
published before 1923" in this field.
notes
format: text
General comments/notes about the piece.
libDateAdded
format: YYYY-MM-DD
Date the piece was added to the library (but not necessarily made available on the website yet).
libDateReleased
format: YYYY-MM-DD
Date the piece was first released on the website.

libReleaseNotes
format: text
Any notes about the piece to accompany its release.
libNotesPrivate
format: text
Note: This field is not publicly viewable.
This is a place for the librarians to leave notes about the status of the piece.
